CPA-Reviewed Automated Bookkeeping: A Managed Service for Utah Businesses

August 10, 2026 By Missy Dennis

Bookkeeping automation is everywhere, and most small business owners have already heard the pitch: connect your bank, let the software categorize transactions, and watch the data-entry hours disappear. The tools genuinely work. But automation alone is not a bookkeeping system — it is a set of inputs that still needs someone qualified to own the output. That is the difference between buying software and engaging a managed service.

At FJ & Associates, PLLC, we run automated bookkeeping as an ongoing, CPA-supervised service for Utah small businesses. We configure the automation, set the rules, and — critically — review what the software produces every period. The result is books that mostly run themselves on the data-capture side while a professional stays accountable for accuracy, exceptions, and the financial decisions that depend on them.

Want a bookkeeping function that runs on automation but answers to a CPA? Call (801) 927-1337 or email admin@cpaone.net.

Why Automation Alone Is Not a Bookkeeping Service

The goal of automation is not to replace your accountant — it is to eliminate the low-value, repetitive data entry that consumes bookkeeping hours without adding insight. When automation handles data capture, categorization, and routine transaction posting, your bookkeeper and CPA spend their time on review, analysis, and judgment, which is where the value actually lives.

The catch is that automation only categorizes confidently when a transaction fits a known pattern. Roughly 60–80% of recurring transactions can be handled by rules; the remaining 20–40% — new vendors, ambiguous charges, amounts outside normal patterns — require a human. Left unreviewed, those exceptions quietly accumulate into miscategorized expenses, distorted reports, and a tax return built on shaky numbers. A managed service exists to catch them before they become a problem.

The Automation Layer We Build and Maintain

When you engage us, we assemble the same building blocks any modern automated workflow uses — but we configure them for your business, document the rules, and maintain them as your vendors and operations change.

1. Automatic Bank and Credit Card Feeds

The foundation of any automated workflow is a live bank connection. Every major cloud accounting platform connects directly to your bank and credit card accounts, importing transactions automatically — usually within 24 hours of posting. This eliminates the need to manually download and import bank statements. We verify those feeds stay connected, because a silently dropped feed is one of the most common causes of incomplete books.

2. Bank Rules

Bank rules are the single highest-ROI automation in bookkeeping. A bank rule tells your accounting software: “Every time a transaction comes in from this vendor with this description, categorize it as this expense account and assign it to this class or project.” Once rules are established for recurring vendors — utilities, rent, SaaS subscriptions, regular suppliers — those transactions categorize automatically.

We build comprehensive bank rule sets during system setup, typically covering 60–80% of recurring transactions, and we refine them over time. The remaining 20–40% are exactly what our review process is designed to handle each period.

3. Receipt Capture Automation

Receipt management is one of the most time-consuming manual tasks in small business accounting. Automated receipt capture eliminates it, and we configure and train your team on whichever tool fits your workflow:

  • Hubdoc (included with Xero; available for QBO): employees photograph receipts with a mobile app; Hubdoc reads the vendor, date, and amount using OCR, then posts the expense with the receipt image attached.
  • Dext (formerly Receipt Bank): similar functionality with stronger multi-user and approval workflow features; popular for businesses with multiple employees submitting expenses.
  • Expensify: adds expense report workflow, per diem management, and direct credit card integration.

We configure the capture workflow during setup and train your team on the mobile app — one minute per receipt instead of a monthly receipt-sorting session.

4. Payroll Automation

When your payroll system (Gusto, ADP, QBO Payroll) integrates with your accounting software, payroll journal entries post automatically after each run. Gross wages, employer taxes, employee deductions, and net pay all hit the correct accounts without manual entry. We confirm those entries reconcile to each payroll run as part of ongoing review.

5. Accounts Payable Automation

For businesses processing significant vendor invoice volume, accounts payable automation tools (Bill.com is the market leader) digitize the entire AP workflow:

  • Vendors email invoices directly to your Bill.com address.
  • AI extracts invoice data (vendor, amount, due date, line items).
  • Invoices route to approvers based on your approval workflow.
  • Approved invoices sync to your accounting software and are paid on schedule (check, ACH, or virtual card).

This eliminates paper invoice management and the risk of lost invoices causing late-payment penalties.

6. Accounts Receivable Automation

Cloud accounting platforms include automated payment reminder workflows:

  • Invoices sent electronically with payment links (Stripe, ACH, credit card).
  • Automated reminder emails at 7 days, 1 day before due, and after due.
  • Automatic receipt confirmation when payment is received.
  • Payment recorded in the accounting system without manual entry.

The practical result: fewer late payments, less time chasing receivables, and faster cash conversion.

7. Recurring Transactions

For predictable recurring income or expenses — monthly retainer invoices, subscription billing, regular vendor payments — cloud platforms generate transactions automatically on schedule, with no manual setup each period.

The Oversight Layer: Where the CPA Earns Their Keep

This is the part software cannot sell you. Automation handles well-defined, repetitive tasks. It does not:

  • Resolve ambiguous transactions that require judgment.
  • Catch categorization errors in unusual situations.
  • Perform month-end close procedures (account reconciliation, accrual entries, depreciation).
  • Produce management reports that require interpretation.
  • Advise on tax strategy or business decisions.

In a managed service, your CPA’s role shifts from data-entry oversight to review and advisory — but the human review layer is what makes the automated system trustworthy. Each period we reconcile the accounts, clear the exception queue, post the entries automation cannot, and review the financials before they inform any decision. Our full-service bookkeeping and virtual CPA services are built around exactly this combination.

What the Combination Delivers

For a small business processing 200–400 transactions per month, a well-automated workflow typically reduces monthly bookkeeping hours by 60–70% compared to a fully manual process. Under a managed service, those reclaimed hours do not simply disappear — they are redirected to review, reconciliation, and reporting, the high-value activities that require professional judgment.

For you, the owner, the outcome is concrete: lower bookkeeping cost, faster monthly closes, financial reporting that is current rather than months behind, and confidence that a licensed CPA — not an algorithm — stands behind the numbers when it is time to file taxes, apply for financing, or make a decision.

A Bookkeeping Function That Mostly Runs Itself — With a CPA Watching

The best bookkeeping system is one you barely have to think about, because it captures data accurately, posts transactions correctly, and surfaces exceptions for professional review automatically. That is not a product you buy once; it is a service we run with you. Let FJ & Associates build and manage that system for your business.
