How to Automate Your Small Business Bookkeeping

What Can Be Automated in Bookkeeping

Bank feed integration. Connect your bank and credit card accounts directly to QuickBooks Online or Xero. Transactions import automatically — daily — eliminating manual entry. You review and approve, rather than type.

Categorization rules. Set up rules in QBO or Xero to automatically categorize recurring transactions. “Amazon Web Services” always goes to “Software & Subscriptions.” “Wasatch Electric” always goes to “Utilities.” Once set up, these run without intervention.

What Cannot Be Fully Automated

  • Month-end adjusting entries — prepaid expense amortization, depreciation, accruals
  • Financial statement review — confirming the numbers make sense and catching anomalies
  • Tax-aware categorization decisions — ensuring expense treatment aligns with tax rules
  • Reconciliation exceptions — transactions that don’t match automatically require investigation
